Leslie Town Centre (LTC) offers two elegant venues:

                                             Estes Williams Center              (main level -  7,200 sq. ft.)

                                            Herald–Citizen Room               (upper level - 1,500 sq. ft.)

 

TERMS AND CONDITIONS

Please read and observe these terms and conditions while leasing LTC and share this information with all guests, vendors, security, caterers, musicians, etc. with your event as you are responsible for their actions and behavior.

   I. Allowable Usage

●       Educational/Training Seminars and Conferences

●       Banquets and Expos

●       Business/Private Receptions

●       Fundraisers

●       Other events as deemed reasonable and appropriate by LTC management

 II. Fee Schedule

●       Room rental begins when you or your service provider enters the room and ends with your/their clean-up and departure, not to exceed 1a.m. without prior approval.

●       Holidays and events extending past midnight accrue a $50 or more hourly premium.

●       Initial room setup, rectangle tables and chairs, kitchen and room breakdown are included in the booking. Major alterations by LTC staff to a completed room setup may incur a $50 charge.

III. Attendant on Duty

●       An LTC staff member is present during your event. Please feel free to ask for our assistance.

●       Please let LTC staff know of maintenance or supplies needed in any area of the building.

●       The building and restrooms are serviced frequently throughout your event.

IV. Deposit and Payment Method

●       Payment of ½ of the event quote and the signed contract are required to confirm the booking. The remaining balance is due thirty days prior to the event.

●       A refundable damage deposit of $500 (see Exhibit A) along with proof of insurance (see Exhibit B) is due not less than thirty business days before the event.

●       LTC accepts cash, credit cards and/or checks.  If paying with a credit card, please contact the office to process the payment in person or by phone. Credit card payments will incur a 3% processing fee.

●       Returned checks will incur a $35 charge.

V. Notice of Cancellation

If the event is cancelled, only the damage deposit will be refunded. However, you may reschedule within one year of the original start date and apply payments made less a $250 rescheduling fee.

VI. Kitchen Usage (Included in Room Rental Fee)

●       You may work with any caterers or service providers of your choice.

●       LTC is not responsible for event arrangements, quality, or payment of catering or other service providers associated with your event. You are responsible for your service providers.

●       Table linens may be rented from LTC at the time of booking, or you may provide.

●       Food warming equipment is available. By order of the Fire Marshall, frying/cooking is not permitted inside the building. You, your caterers, or service providers must follow all rules posted in the kitchens. Outside cooking/grilling is only permitted in the rear parking lot and must be 20+ ft. from the building. All trash must be placed in the dumpster located in the southwest corner of the parking lot, and the building/parking lot returned to original conditions to avoid cleanup charges. *

●       As popcorn machines may set off fire alarms, discuss proper placement with LTC staff before setup.

●       The icemaker in the main kitchen is for ice storage only and may not be used as a cooler/freezer. Only guests renting this kitchen may use the icemaker unless approved in advance.

●       Ice is provided for upstairs events and will be stocked in the upstairs kitchen freezer.

  VII. Audio/Visual Equipment (optional)

●       Schedule testing of your equipment compatibility with our systems 1 week prior to your event.  As a backup, your presentation on a flash drive is recommended.

●       If LTC audio/visual equipment becomes damaged or lost while in use at your event, you will be charged for all costs associated with repairing or replacing the equipment. *

●       Use of LTC audio/visual equipment (or any LTC property) outside the facility is strictly prohibited.

VIII. Decorations (optional)

     You are welcome to decorate the rooms using the following guidelines:

●       ALL products used to attach decorations to the wall, ceiling, chairs, tables, or building MUST be approved by LTC management and must be removed promptly after your event.

●       Balloons, banners, or other hangings may not be left floating overnight as they set off the security system.

●       Nails, tacks, or anything that will puncture the walls, wallpaper, glass doors, drapery or blinds are strictly prohibited.

●       As required by the Fire Marshall, candles must be enclosed in water or glass (votive, hurricanes, etc.) and placed a reasonable distance from anything flammable.

●       A 3 ft. doorway and 8 ft. elevator clearance must be maintained at all times. Keep stairway areas and all exit doors clear of any obstruction.

●       The floor, walls, drapes, blinds, and tables must be protected from spills/splatters of chocolate fountains, cakes, candles, sterno, etc.

●       The following may not be used in the building or thrown in or on LTC property:

Rice, birdseed, glitter, confetti, sand, hay, mulch, carpet fresh or any similar small particles without incurring a cleanup charge. *

●       Only artificial Christmas trees are permitted unless prior arrangements have been made with LTC management.

●       The parking lot is part of the facility and must be left in good condition without debris.

IX. Event Advertising

●       LTC reserves the right of approval prior to publishing public information, including all advertisements, signage, exhibits or packets and promotional materials for your event at LTC.

●       No informational materials may be published or distributed prior to the execution of this agreement.

Violation of this policy could result in the termination of any existing rental agreement, and all deposits, rents and other sums previously paid will be retained by LTC.

●       Banners or signs of any type are not allowed outside LTC or in the lobby without prior approval of LTC management.

●       If desired, please give directions as to how you would like your event featured on the street marquee and/or lobby directional signage.

   X. Animals

●       Only ADA service animals are permitted in the building or parking lot without prior approval of LTC management. The ADA defines a service animal as any guide dog, signal dog or other animal individually trained to assist an individual with a disability.

●       This agreement is subject to additional clean-up fees, if necessary.

  XI. Smoking Policy

●       Smoking is not allowed inside, nor may it infiltrate the building.

●       For your convenience, a designated smoking area for main room is under the east outside canopy. A designated smoking area for the upper room is located down the back stairwell and outside the back door of the building under the awning. Please note that doors lock from the outside when closed and may be unlocked upon request.  

XII. Safety and Security Policy

●       LTC reserves the right to eject or cause to be ejected from the premises any person creating a public nuisance or discernable risk to public health or safety.

●       LTC shall attempt to advise you of such ejections, except those cases where an immediate risk to the public exists. As the lessee, you are responsible for obeying, and assuring all your agents, employees, contractors, and guests obey all laws, ordinances, rules, and regulations.

●       Ample parking is available around our building. Please inform your guests that NO Parking zones may result in their vehicles being towed at their own expense.

●       Weapons and/or firearms are not permitted on the premises without prior approval.

●       LTC reserves the right to require private security at your event at your expense if, in the sole discretion of LTC, such security is needed (see Exhibit C). Further, for any event, the ending time for which is past 12:00 AM., private security will be required at your event at your expense for the entire time of the event.

XIII. Lost and Abandoned Articles

●       LTC maintains a lost and found area for any items turned into the office.

●       Any supplies or decorations left after your event without prior arrangements may be disposed of and result in your being charged for the breakdown/disposal of your supplies or decorations.

●       LTC is not responsible for your supplies/equipment at any time before, during or after your event.

*Special Charges: A minimum of $100 will be charged for every incident that necessitates repairs and/or excessive cleaning and/or storage, inside or outside the building, for, but not limited to removal of decorations, table or chair dressings, candle wax, carpet stains, excessive vacuuming, mopping or sweeping of tile or removing debris from the building or the parking lot.

You are responsible for any damages and all costs associated with the rental of LTC including all legal fees.
